2. Overview

The protection of your personal data is important to us. This privacy policy explains what data we collect when you use respondelicious, how we use it, and what rights you have. We reserve the right to update this policy to reflect changes in our services or legal requirements.

3. What data we collect and why

3.1 Account data

When you register, we collect your email address, name, and optionally company name, address, country, and VAT ID. This data is necessary to provide you with access to the platform and to process billing. Legal basis: Art. 6(1)(b) GDPR (contract performance).

3.2 Chat and content data

When you use respondelicious, we process the content of your chat conversations, uploaded documents (e.g. PDFs), and crawled website content. This data is stored to provide the AI chat functionality you requested. Legal basis: Art. 6(1)(b) GDPR (contract performance).

3.3 Embedded chat (external chat widget)

If you interact with a respondelicious chat widget embedded on a third-party website, we process the content of your chat messages. Chat threads from the embedded widget are automatically deleted after a configurable retention period set by the website operator. Legal basis: Art. 6(1)(f) GDPR (legitimate interest of the website operator in providing customer support).

3.4 Payment data

Payment processing is handled by Mollie B.V. We do not store your credit card details. Mollie processes your payment data as an independent data controller. Legal basis: Art. 6(1)(b) GDPR (contract performance).

3.5 Usage analytics

We use lalalytics, our own analytics tool, for anonymous usage statistics. lalalytics does not use cookies and does not collect personal data. No data is shared with third parties. No consent is required. Legal basis: Art. 6(1)(f) GDPR (legitimate interest in improving our service).

3.6 Session data

We use a session cookie that is technically necessary to keep you logged in. This cookie expires after 60 days. No consent is required for technically necessary cookies. Legal basis: Art. 6(1)(b) GDPR (contract performance).

4. Data retention

  • Account data: stored as long as your account exists.
  • Chat conversations and uploaded content: stored as long as your account exists, unless you delete them earlier.
  • External chat threads: automatically deleted after the retention period configured by the website operator.
  • Unconfirmed accounts: automatically deleted after 7 days.
  • Invoicing data: retained for 10 years as required by German tax law (§ 147 AO).

5. Where is the data stored?

All data is stored on servers operated by Hetzner Online GmbH in Germany. We have concluded a data processing agreement (DPA) with Hetzner. No data is transferred outside the EU/EEA.

6. Third-party service providers

We use the following service providers to operate respondelicious:

  • Hetzner Online GmbH (hosting, Germany) — DPA in place
  • Mollie B.V. (payment processing, Netherlands) — independent data controller
  • Moco (invoicing) — DPA in place

Beyond these providers, we do not share your data with any third parties.

7. AI data processing

respondelicious processes your input using AI models hosted on our own infrastructure. Your data is not sent to external AI providers. No automated decisions with legal effect are made based on AI processing.

Under the GDPR, you have the following rights regarding your personal data:
